Axure Tip 13: The Word cleanup

No specification generation can escape some cleanup in Word. With some attention to the way your Axure document is constructed, it is possible to reduce the cleanup that is necessary. The following checklist should help in using Word features to improve your specification output.

Here follows my cleanup checklist whenever I output a new specification. Some actions are automated using Word features, whereas others require some methodical process through the document.

Take advantage of Word features to quickly clean up the document:

  • Search and replace on ^p^p and ^p ^p (note space) to remove double lines
  • Align left (on entire document)
  • Set language preferences (ensuring to deselect ‘do not check spelling or grammar’)
  • Spell check
  • Use search to find any redundant or missing information (Case, State, Unidentified, Widget, Event, (x,y))

With the above actions, I usually update straight into Word, but copy and paste any amendments I make back into the Axure document to prevent having to make these changes again.

Then manually edit the document content:

Working from the back of the document:

  • Manually crop and size images using crop tool
  • Quickly strip out duplicates and update any missing labels

Working from the front of the document:

  • Manually edit page breaks to break your specifications into understandable chunks

Final actions:

  • Update change log
  • Set document properties
  • Print to PDF to update all fields (TOC etc.)
